Enquiries
Adding an enquiry yourself
Use Add an enquiry for anyone who reaches you outside YogaTribex's own channels, such as a walk-in, a phone call or a referral. The enquiry is yours as soon as you save it.
ForSchool ownerSales staff
Open the form
Owners and sales staff can add enquiries; a Viewer cannot. Any of these opens Add an enquiry:
- + Enquiry in the top bar, on a wide screen.
- Add enquiry on New Enquiry or My Enquiries. On a phone, New Enquiry shows Add.
- The New Enquiry tile on your dashboard, "Walk-in or referred lead".
- Add an enquiry on the Enquiries page, which opens from the enquiry tiles on your dashboard.
Fill it in
The form has three parts. On a wide screen, a summary beside it shows What will be added and what is still missing.
Step 1: Say who they are
Under Student details, fill in Full name, then an Email or a Phone. Country and Gender are optional.
- You need an email or a phone to save
- You need an email before you can enrol them
Step 2: Choose how they reached you
Under Enquiry details, click a Source chip. It starts on Phoned us.
Step 3: Add what they asked about
Pick a Course interested, then a Preferred batch from its open dates.
- How long, for a course that runs at several lengths
- Accommodation preference, from the rooms the course is priced in
- Promo code, if they have one
Step 4: Set the status and follow-up
Under Follow-up, pick a Status and a Next follow-up date. Tomorrow, In 3 days and Next week set the date in one click.
Step 5: Save it
Click Save enquiry. It stays greyed out until there is a name and an email or phone.
Source and status
The Source records how they first reached you, and it stays as you set it.
| Source chip | Use it for |
|---|---|
| Phoned us | Someone who rang the school |
| Walked in | Someone who came to the school in person |
| Referred by someone | Someone sent by another person, such as a past student |
| A WhatsApp message that reached you outside YogaTribex | |
| Social media | A message or comment on your social media accounts |
| Our own website | Your own website, where it is not connected to YogaTribex |
| Something else | Anything that fits none of these |
Mini website is not on the list, because those enquiries arrive by themselves.
The Status can start at New, Contacted, Following up or Proposal sent. Pick Contacted if you have already spoken to them, for example on the call you are writing down.
If they are already here
As you type an email, or a phone number of seven digits or more, YogaTribex checks for an enquiry that already has it.
If it finds one, a warning appears above the form: "A lead with these details is already here — open it rather than adding them twice."
- It lists each match with its email, phone, status and who has it, up to five.
- Click a name to open that enquiry instead.
- It never stops you saving, because two people can share a phone.
An email must match exactly. A phone matches on its last nine digits, so a number typed without its country code still counts.
After you save
The new enquiry's page opens, ready for you to note what was said.
- It is assigned to you and listed in your My Enquiries.
- It skips the New tab of New Enquiry, where unclaimed enquiries wait, but shows under All.
- Nobody gets a bell alert: you added it, so you already know.
- If you gave an email, the student gets your Enquiry acknowledgement message, unless you have switched it off.
- Under Details, the enquiry page shows the source you chose and Capture as Manual.
Edit the details later
As you learn more, such as their email or the dates they want, add it to the enquiry.
Step 1: Open the enquiry
Open the enquiry's page, for example with View on My Enquiries.
Step 2: Edit the details
Under their contact details, click Edit details. A page headed Edit and their name opens.
Step 3: Save the changes
Change what you need and click Save changes.
The source and follow-up are not on this page. Change the status and follow-up date on the enquiry's page; see Statuses & follow-ups.
