Enquiries from phone calls
The CallPulse app sends every call made or taken on a staff Android phone to your CRM. A call with a number saved on an enquiry is logged on that enquiry by itself.

What the app does
CallPulse runs on the Android phones your team calls students from. When a call ends, the app uploads its details to your CRM.
Call ends
On a phone with CallPulse set up.
Uploaded
The app sends the call to your CRM.
Matched
Against the numbers on your enquiries.
Logged
On that enquiry, and in Call Logs.
For each call, the app uploads only these details:
- The number, and the name saved for it in the phone's contacts, if you allow Contacts
- Whether the call was incoming, outgoing, missed or rejected, and whether it was answered
- When it started and ended, and how long it lasted
- Whose phone it was on
No audio is recorded. Your messages and your address book are never uploaded.
When a phone is first set up, it also uploads its calls from the last 24 hours. Everyone at your school who can see enquiries can see these calls in Call Logs.
Install the app
Install it from the Phone App card on your Dashboard, or from Setup › Phone devices. Both have an Install on phone button.
Step 1: Open the install window
Click Install on phone. Install CallPulse on your phone opens, with the latest version, its size and its date.
Step 2: Get it onto the phone
On a laptop, scan the QR code with the phone's camera. With your CRM open on the phone itself, tap Download APK app instead.
- An APK is the file an Android app installs from.
Step 3: Install it
On the phone, open the downloaded file and install it. If Android asks, allow installs from your browser.
The app appears on the phone as YogaTribeX CallPulse.
Sign in and set up the phone
Each person signs in on their own phone, with the email and password they use for YogaTribex. Colleagues who can edit enquiries can sign in: by default, Owner and Sales.
The phone app is part of the Sales pipeline feature, so your school's plan must include it.
Step 1: Sign in
Open the app. On Welcome back, enter your Email address and Password, then tap Sign in.
Step 2: Give consent
Under 1. Consent, read what the app collects, or tap Read consent policy. Tick I understand and agree, then tap Accept.
Step 3: Allow the permissions
Under 2. Permissions, tap Grant permissions and allow them. Then tap Allow background syncing.
- Call log is required: it is how calls are captured.
- Phone state notices when a call ends, so it is picked up promptly.
- Notifications confirm each captured call.
- Contacts is optional: it shows a name instead of a bare number.
Step 4: Choose the school
Under 3. Default school, pick the school these calls belong to. Then tap Start capturing calls.
Without background syncing, Android pauses the app, and calls upload only when someone next opens it.
The home screen lists Captured calls, each marked Uploaded or Waiting to upload. If a call has not appeared, tap Scan now.
Someone who works at more than one school picks where calls go under Working on. A change applies only to later calls.
Calls with a number on an enquiry
When a call's number matches the phone saved on one of your enquiries, the call is logged on that enquiry by itself.
- The enquiry's Communication Log gets a Phone entry, such as Call · 4 min 12 s, Missed call or Rejected call.
- An answered outgoing call moves a New enquiry to Contacted.
- Incoming, missed and unanswered calls leave the status as it is.
- In Call Logs, the row shows the student's name, which opens the enquiry.
Calls are not shown in the Inbox. Working with calls day to day is covered in Calling & call logs.
Calls from an unknown number
A call from a number that is on none of your enquiries does not become an enquiry by itself. It waits in Call Logs, marked Not linked to an enquiry.
If the caller is a new student, add them as an enquiry yourself. Their later calls are then logged on it automatically.
Step 1: Add the enquiry
Open Enquiry Management › New Enquiry and click Add enquiry. Phoned us is already chosen as the Source.
Step 2: Save it with their number
Fill in their Full name and Phone, with anything else they told you. Click Save enquiry; it is assigned to you.
Step 3: Note the call
On the enquiry, under Record something that happened elsewhere, choose They contacted us and Phone. Type what was said, click Record, then Yes, record it.
The captured call itself stays unlinked, and calls that are never linked are deleted after 30 days. The form is explained in Adding an enquiry yourself.
Check and manage the phones
Open Setup › Phone devices to see every phone signed in to your school. The owner sees the whole team's phones; a salesperson sees only their own.
Counts at the top show the phones, how many have an active login, and how many need setup. Each card names the phone, its owner and the app version.
| Tile | What it tells you |
|---|---|
| Call capture setup | Call permissions granted when the phone is ready. Anything else, such as Consent pending or Call permissions needed, means setup is unfinished. |
| Consent | Accepted, or Pending until the person accepts it in the app. |
| Last seen | When the phone last reached your CRM. |
| Last call received | When your school last received a call from this phone. |
Step 1: Revoke a phone
On its card, click Revoke access. In Revoke this phone’s access?, click Revoke access again.
Step 2: Re-enable it later
Click Re-enable access and confirm. The person then signs in on the phone again.
A revoked phone can no longer upload calls or use your CRM, and the calls it uploaded stay on record. Each person can revoke their own phone.
